Administrative Assistant / Bookkeeper

We are looking for a detail-oriented, experienced Executive Assistant / Bookkeeper to join our construction team. In this role, you'll oversee day-to-day accounting operations, payroll, job costing, and construction-related financial documentation, playing a key part in keeping our projects and office running smoothly.

 

Key Responsibilities

  • Answer phone calls.
  • Report directly with the owner.
  • Manage Health & Safety jobsite requirements.
  • Manage all day-to-day accounting and bookkeeping functions
  • Process accounts payable and receivable
  • Prepare customer invoices, progress billings, and payment follow-ups
  • Perform bank reconciliations and maintain accurate financial records
  • Process payroll and maintain employee pay records
  • Prepare Union Remittances, ROEs, WSIB remittances, and HST filings
  • Track project, labour, and job costs, and prepare job costing reports
  • Maintain subcontractor and supplier payment records
  • Prepare statutory declarations and related project documentation
  • Maintain accuracy and organization within QuickBooks Pro.

 

Qualifications:

  • Diploma or degree in Accounting, Finance, or Business Administration
  • 2–5 years of accounting experience
  • Experience in construction contracting.
  • Working knowledge of payroll, WSIB, HST, and job costing
  • Proficiency with QuickBooks, Excel, and other accounting software
  • Excellent organizational and communication skills
  • Ability to manage multiple priorities and deadlines
